Connecting intake, phones and Clio: what actually works
What popular phone, receptionist, and intake tools really send into Clio Manage and Clio Grow, where duplicates and double bookings happen, and a simple setup plan.

"It integrates with Clio" can mean a lot of things. Sometimes it means every call, text, and form shows up on the right matter. Sometimes it means a call log entry and nothing else. This guide sorts out what common tools actually send, based on each vendor's own help pages.
General information, not legal advice. Every fact links to the vendor's own page, checked Oct 19, 2026.
First, know the two Clios
- Clio Grow is for leads and intake: people who have not hired you yet.
- Clio Manage is for clients and matters: calendars, time, billing, documents.
Many tools connect to one but not the other, or send different things to each. When a lead is hired through Clio's own Grow AI, the matter moves into Clio Manage with its contact history and case details (LawSites, checked Oct 19, 2026).
What each tool sends
CallRail (call tracking)
Into Clio Grow (CallRail help: Clio Grow, checked Oct 19, 2026):
- Calls, texts, and form entries, sent to the Grow leads page.
- The recording link, a call summary on plans that include it, and the marketing source and campaign.
- US accounts only.
- Cannot book appointments through Grow.
Into Clio Manage (CallRail help: Clio Manage, checked Oct 19, 2026):
- Calls only. Texts and forms do not go to Manage.
- Its AI agent, Voice Assist, can book, cancel, and reschedule on your Manage calendar, but it does not hold time slots. Double booking can happen.
Using both? CallRail says to connect only Clio Grow if you use both, so you do not get duplicates (CallRail help: Clio Grow, checked Oct 19, 2026).
Privacy note: Voice Assist can read Clio contact details, including contact notes and custom fields (CallRail help: Clio Grow, checked Oct 19, 2026). Think about what your team writes in contact notes.
Ruby (live receptionists)
- Clio Manage: calls, messages, and voicemails appear in communication logs, and you can make a time entry from the call (Clio app directory, checked Oct 19, 2026).
- Clio Grow: calls and messages flow into the pipeline (Clio app directory, checked Oct 19, 2026).
- Matching: Clio links a call to a contact when first name, last name, and calling number all match (Ruby help, checked Oct 19, 2026). A caller who gives a nickname or calls from a new number may not match.
- HIPAA: Ruby says this integration should not be used with its HIPAA compliant service (Ruby help, checked Oct 19, 2026).
Abby Connect (live plus AI receptionists)
- Clio Manage: calls are logged as communications on the matter (Abby Clio Manage page, checked Oct 19, 2026).
- Lawmatics: intake lands in the Lawmatics pipeline, can trigger automations, and records the lead source (Abby Lawmatics page, checked Oct 19, 2026).
Smith.ai (AI and live receptionists)
- Names Clio, Lawmatics, MyCase, Filevine, PracticePanther, Smokeball, Litify, and Rocket Matter as integrations (Smith.ai home page, checked Oct 19, 2026).
- The first CRM connection is free on live plans; each extra one is $0.50 per call (Smith.ai pricing, checked Oct 19, 2026).
- Conflict checks against your system cost $0.50 per call on live plans (Smith.ai pricing, checked Oct 19, 2026).
Posh (live and AI receptionists)
- Lists Clio Grow and Clio Manage, Rocket Matter, Zoho, and scheduling tools (Posh integrations, checked Oct 19, 2026).
- On conflicts, Posh says it supports your firm's own conflict process by relaying caller details, so your team still runs the check (Posh attorney page, checked Oct 19, 2026).
Lawmatics (intake and CRM)
- Lists Clio, 8am MyCase, Filevine, CallRail, and Outlook among its integrations (Lawmatics pricing, checked Oct 19, 2026).
- CallRail into Lawmatics: calls are logged, can be assigned by phone number, and the marketing source is set by your rules without overwriting an existing source (Lawmatics help, checked Oct 19, 2026).
Common problems and how to avoid them
| Problem | Why it happens | What to do |
|---|---|---|
| Duplicate leads | Two tools both create contacts, or one tool is connected to Grow and Manage | Pick one "front door" for new leads. CallRail says to connect only Grow if you use both (CallRail help) |
| Double booked consults | An AI books on the calendar without holding the slot | Test with two calls at once. CallRail warns about this in Manage (CallRail help) |
| Calls not on the right contact | Matching needs exact name and number | Add every known number to the contact (Ruby help) |
| Recordings disappear | The phone tool deletes them on a schedule | Save key recordings into the matter. CallRail deletes after 25 months (CallRail retention) |
| Sensitive notes read by AI | AI agents can read contact notes | Keep sensitive facts in matter notes or documents, not contact notes (CallRail help) |

A simple setup plan
This is our suggested approach, not a vendor instruction.
- Draw your path on paper. Phone rings, who answers, where the lead goes, who checks conflicts, where the consult gets booked, where the matter lives.
- Choose one front door for new leads. Usually Clio Grow or Lawmatics. Every phone and web tool should feed that one place.
- Connect one tool at a time. Make five test calls and two test forms after each one. Check that each shows up once, on the right contact.
- Test the hard cases. A caller with a new number. Two callers booking the same slot. A Spanish speaking caller. A caller who refuses to be recorded.
- Set an export habit. Once a month, save important recordings and transcripts into the matter.
- Write it down. A one page map of what connects to what, so a new hire or a vendor can follow it.
Our take
This is our opinion, based on the sourced facts above. The best stack is usually the simplest one: one place for leads, one place for matters, and as few tools in between as you can manage. Read the vendor's help article, not the sales page, before you buy. The help article tells you what really gets sent.
