CallRail review: call tracking and AI call tools for law firms

What CallRail costs, how it sends calls into Clio and Lawmatics, which AI companies touch your recordings, and its 25 month delete rule. Sourced and dated.

Last checked

What it does: CallRail gives you tracking phone numbers so you can see which ad, search result, or website page made the phone ring. Higher plans add call recording summaries and an AI voice agent called Voice Assist that can answer calls (CallRail pricing, checked Oct 19, 2026).

Who it fits: Firms that spend money on ads or SEO and want to know which marketing brings in real cases. It is a marketing and phone data tool, not a full receptionist service (CallRail pricing, checked Oct 19, 2026).

Where your client data goes

Data Trail card

Question What CallRail says Source
Where is data stored? CallRail's subprocessor list names Amazon Web Services for storage in the US. Trust center, checked Oct 19, 2026
Is it used to train AI? CallRail says you own your data and it will not use it except as you direct, "unless the data has been anonymized for use in aggregate analysis." Training is not addressed directly. Retention policy, checked Oct 19, 2026
How long is it kept? Calls, recordings, texts, form entries, and voicemails are deleted automatically after 25 months. You cannot extend this. Backups can last up to 90 more days. Retention policy, checked Oct 19, 2026
Legal holds CallRail says that if you need records kept longer, such as for a legal hold, you must export them yourself. Retention policy, checked Oct 19, 2026
Who else touches it? A published subprocessor list. It includes AssemblyAI (transcription and AI), OpenAI (AI voice agent), Google Gemini (summaries), ElevenLabs (text to speech), Twilio and Bandwidth (phone service), and AWS. Trust center, checked Oct 19, 2026
SOC 2 or other audit The trust center shows SOC 2 Type II, HIPAA, PCI, and ISO 42001. Trust center, checked Oct 19, 2026

Export and leave Exporting is on you, and it must happen before the 25 month delete. Retention policy, checked Oct 19, 2026

Integrations

Clio Grow (CallRail help, checked Oct 19, 2026):

  • US accounts only.
  • Sends calls, texts, and form entries to the Clio Grow leads page, with the recording link, the call summary (on plans that include it), and the marketing source.
  • If you use both Grow and Manage, CallRail says to connect only Grow, to avoid duplicate records.
  • Voice Assist can read Clio contact details, including contact notes and custom fields.
  • The Grow connection cannot book appointments.

Clio Manage (CallRail help, checked Oct 19, 2026):

  • Only calls are sent to Manage, not texts or forms.
  • Voice Assist can book, cancel, and reschedule in the Clio Manage calendar. It does not hold time slots, so double booking can happen.

Lawmatics (Lawmatics help, checked Oct 19, 2026): uses a CallRail API key, logs calls in Lawmatics, can match calls to contacts by phone number, and sets marketing source by rules without overwriting an existing source.

Setup effort and hidden costs

  • Usage charges come on top of every plan (CallRail pricing, checked Oct 19, 2026).
  • Minute rounding and the per call AI charge can add up in a busy month (CallRail pricing, checked Oct 19, 2026).
  • If you need records longer than 25 months, plan for regular exports into your case file (Retention policy, checked Oct 19, 2026).

Contract traps

Questions to ask CallRail

  1. Does "anonymized for use in aggregate analysis" include training AI models?
  2. What is today's per minute rate and the per call Voice Assist charge for my plan?
  3. Can Voice Assist be stopped from reading contact notes in Clio?
  4. Can I get a BAA if I am a law firm handling medical records, or only on Healthcare plans?
  5. What is the easiest way to export recordings in bulk before the 25 month delete?

Strengths

  • Published subprocessor list that names its AI providers (Trust center, checked Oct 19, 2026).
  • Strong set of published security reports (Trust center, checked Oct 19, 2026).
  • Detailed, honest help articles on what the Clio connections can and cannot do (Clio Grow help, Clio Manage help, checked Oct 19, 2026).

Limits

  • Fixed 25 month delete with no legal hold option (Retention policy, checked Oct 19, 2026).
  • Pricing has several moving parts, and some numbers changed between page views (checked Oct 19, 2026).
  • Voice Assist can double book in Clio Manage (Clio Manage help, checked Oct 19, 2026).

Our take

This is our opinion, based on the sourced facts above. CallRail is the most open vendor on this list about which outside AI companies touch your calls, and that deserves credit. For lawyers, the big issue is the fixed 25 month delete. If a call could matter in a case, save it to your file early. If you turn on Voice Assist, know that it can read your Clio contact notes, so keep sensitive notes somewhere else or ask how to limit that.
